Rename the chatcument-qr files, keep the exact payload text, print the address beside the code, and remember it cannot be redirected.

Downloads arrive as chatcument-qr.png, .svg or .webp, so rename them at once, for example support-email-qr-v1.png. Use PNG for documents and slides, SVG for a printer or designer who needs sharp scaling, and WebP only for web pages. Store the copied payload text next to the image in the same folder.

Picture a clinic putting an "Ask the front desk" code on its waiting room poster. Print the address in plain text beside the code as well, so a visitor without a camera or mail app can still write. Make the code at least 3 cm wide on an A4 sheet and larger for anything read from more than a metre away.

A common mistake is printing 500 copies and then changing the support mailbox. The address is baked into the pattern, so the code stays useful only while that mailbox exists. Either keep forwarding active on the old address or version the file name (v1, v2) and track which print run carries which code.

Before handing the files to a printer, send the PNG as a proof to a colleague and ask them to scan it from a phone with a different operating system. Include the 720 px or larger export and the payload text in the hand-off message.
